Agency Onboarding Process – Trans Infopreneur Inc.
This page explains how a new translation agency can start working with Trans Infopreneur, step by step. Our onboarding process is simple, secure, and low-risk, while clearly aligning quality, tools, and delivery expectations from the beginning.
We mainly onboard:
- Translation agencies
- Publishers
- Corporates
- International organisations
1. First Contact & Requirement Check
The onboarding starts with a simple enquiry via:
- Contact & Enquiry Form
At this stage, agencies usually share:
- Source & target language(s)
- Subject area (technical, legal, medical, IT, patent, etc.)
- Approximate volume
- Expected timeline
- Required workflow (Human TEP or MTPE)
We then confirm:
- Whether we can take up the project
- The recommended workflow
- A realistic delivery schedule
2. NDA & Confidentiality (If Required)
Before receiving full files, we can sign:
- A mutual NDA, or
- A client-provided NDA
This is common for:
- Legal documents
- Medical content
- Patents
- Confidential business material
All files are treated as confidential by default and handled under:
- Secure internal access
- Controlled file storage
- GDPR-aligned handling for European data
3. Free Pilot File (Optional)
For new agency partners, we offer:
- A free pilot file of about 500 words
- Under:
- Full Human TEP, or
- Controlled MTPE, as agreed
This allows agencies to check:
- Language quality
- Editing depth
- Terminology handling
- Communication clarity
- Our ability to meet agreed deadlines
There is no obligation after the pilot.
(This means you are not required to place further orders if the pilot does not match your expectations.)
4. Style Guide, Terminology & TM Setup
Once the pilot is approved or a project is confirmed, we prepare:
- A project-specific style guide
- An approved terminology list (termbase)
- Translation Memory (TM) exchange or creation
- CAT tool setup in:
- SDL Trados
- Alchemy Catalyst (where required)
This ensures:
- Consistent language style
- Uniform terminology
- Faster handling of future updates
5. Live Project Execution
After setup, regular production begins under the agreed workflow:
- Human TEP is used for:
- Legal
- Medical
- Patent
- Safety-critical content
- Controlled MTPE is used only where approved, for:
- Internal documentation
- Knowledge bases
- Large-volume reference content
Each project follows:
- Translator → Editor → QA flow
- Clear delivery deadlines
-
Controlled file handling through CAT tools
(All files are processed inside professional translation tools like Trados and Alchemy Catalyst. This prevents file loss, keeps formatting safe, ensures correct language versions, and allows full version tracking from start to final delivery.)
6. Delivery, Revisions & Updates
On delivery, agencies receive:
- Final translated files
- Updated TM (if applicable)
- Terminology updates (if approved)
If revisions are required:
- They are handled promptly
- Based on:
- Style guide
- Approved terminology
- Client feedback
7. Ongoing Projects
Once the workflow is stable, agencies typically use us for:
- Repeat projects
- Large multilingual rollouts
- Regular content updates
- Long-term maintenance work
(Ongoing updates to manuals, software content, databases, or documents when the source files change over time.)
We support:
- Predictable production capacity
- Stable turnaround
- Scalable volume handling
8. Billing & Commercial Terms
Pricing is:
- Project-based
- Subject-area dependent
- Based on Human TEP vs MTPE
- Based on delivery urgency
Invoicing terms are agreed at the start.
There are no hidden or unexpected charges after delivery.
